Shipping/Receiving Administrator

The shipping/receiving administrator is responsible for all activities related to the receiving of production material for all productions; fabricated and finished goods receiving; receiving customers own supplied material for projects; and shipping all parts and finished goods to customers’ locations. They coordinate with the Sales Administrators, Production Supervisors and Parts Administrators ensuring a collaborative approach to materials availability and customer shipment timelines. This individual demonstrates positive and productive relationships with all internal and external parties to maximize customer service, supplier relationships and organizational efficiency.


  • Provide excellent customer service for internal and external stakeholders to develop, maintain and enhance professional relationships.
  • Participates in meetings of Customer Service and Sales Administration Department teams to review new jobs, status of existing jobs, rush jobs, shipping schedules, problem jobs, etc.
  • Prepares orders daily for shipping and coordinates with Sales Administrators to ensure all packing lists/labels are completed and ready for attachment to the job; initiates packing and shipping of all jobs.
  • Builds a working knowledge and understanding of Vulcan’s customers, Vulcan’s products, tooling, and safe working practices.
  • Operate forklift and picker truck using safe lifting and rigging processes for all receiving and shipments, performing regular safety inspections on forklift and picker trucks.
  • Builds a level of knowledge in material handling; WHMIS; SDS management; and shipping procedures domestically and internationally.
  • Housekeeping responsibilities include garbage bin collection, recycling pick-ups, and organizing snow removal. Working from the view of global responsibility towards a clean workflow.
  • Local parts deliveries and pick-ups.

  • Willing to gain knowledge of Vulcan customers, Vulcan services, Vulcan suppliers, Vulcan products, materials & parts inventory.
  • General understanding of shipping/receiving duties with interest in developing and demonstrating cooperation, knowledge, and skillfulness with given tasks and responsibilities.


  • Education: Warehousing certificate considered an asset.
  • Work Experience: 5+ years prior work experience in any field. Related work experience considered an asset.
  • Skills: Excellent organizational skills with attention to detail. Written and verbal communication skills. Excellent computer skills. Comfortable with MS office applications. Problem solving skills. Ability to work under tight deadlines.
  • Knowledge: Warehousing procedures considered an asset. Technical knowledge and experience with gas compression and pump components an asset.
  • Certifications/Licenses: Must have a valid class 5 drivers license with a clean driving record.
